Sales & Quotes Co-Ordinator

MAIN PURPOSE OF JOB

To deal with the day to day activities of the Sales office and assist the Quotes team if necessary. To interface with prospective and current customers and take action to help business growth.

MAIN DUTIES

SALES

Manage the administration of all sales orders and amendments so that all relevant departments are aware of the order requirements. Orders are to be entered into the system with the minimum of delay, liaise with Sales Management to ensure that this is actioned. 

To take action to ensure that the sales order book is “clean” and dates reflected are true and accurate. Communicate with Sales Management any changes that will affect the smooth running of the order process.

Update, communicate and implement order book schedules.

Ensure that pricing on order is correct (to prevent accounting issues) and that any “drop down” requirements are noted and distributed to the appropriate department for valuation.

Ensure that sales orders are acknowledged to the customer with price and delivery confirmed.  Feed back and negotiate with customers on delivery dates that do not meet the order request. Liaise with production and customer to ensure transparency and achieve best possible viable delivery date.

Organise and conduct regular meetings with customers to monitor the effectiveness of our business relationship and to seek out new enquiries from current and prospective customers. Attend local customer meetings to build relationship and business growth.

Where required attend weekly production meeting and communicate information obtained to required personnel and action changes as and when required.

Administration of ERP customer records

Administration of customer invoicing

Raises invoices as required for RMA and tooling services.

Maintain KPI stats of sales and marketing functions. KPI stats are to be generated and provided to the Sales Management on a monthly basis.

Stand-in Reception duties when required.

QUOTATIONS

Create Bills of Materials accurate to customer requirements using existing Nemco stocked parts where possible.

Send out BOM to relevant suppliers and from their responses produce materials costings.

Challenge suppliers on pricing to get the most competitive pricing possible.

Follow and uphold the Company’s environmental policy, procedures and instructions in order to minimize environmental impacts from its activities.

In addition the jobholder is required to perform other duties as assigned by the supervisor/manager from time to time.

REQUIREMENTS

Previous experience in a Sales role, and a good knowledge of Microsoft Office is essential.
